Announcement for the Exhibition Booth Application 

1. Recruitment Details:

▶ Title: Recruitment of Participating Organizations for the “27th IAVE 2024 Busan World Volunteer Conference” Exhibition Booth
▶ Operating Period: October 22(Tue.) – 24(Thu.) / For 3 days, 10:00~16:00
   -Installation: October 21st (Mon.) – 22nd (Tue.), 2024
   -Dismantling: October 24th (Thu.), 2024
▶ Venue: Event Hall in BPEX and Conference Hall Foyer
▶ Exhibitors:
   - Organizations promoting volunteer activities
   - Companies/Corporations engaging in social contribution projects
   - Non-profit organizations and entities working for the public good
▶ Theme: “People Power: Creating a Sustainable Future through Volunteering”
▶ Contents: Introduction of participating organizations, exhibition and experience of volunteerism or social contribution activities
▶ Scale: in total 20 booths / 20 corporate and organizations
▶ Booth Size: 3m(W) x3m(D) x 2.4m(H)
▶ Provided Items:
   - Shell Scheme Standard booth (3m(W) x3m(D) x 2.4m(H)), 1 table, 2 chairs, 1 electric outlet (with two sockets), 1 banner,
     1 Full Conference pass (not included accommodation), 1 Entry pass (restricted conferences and meals), and 1 parking spot
▶ Participation Fee: USD 1,500 ~ 3,750 / per 1 Booth * Varies depending on the location

2. Application Guidelines:

▶ Application Period: April 1st (Mon.) – May 31st (Fri.), 2024
▶ Application Method: Submission via email to the Secretariat (wvc2024busan@gmail.com)
▶ Required Documents: Booth Application Form * Submitted documents will not be returned.
   - Please indicate the subject of the email as “Booth Application_[Name of Applying Organization]”
     (e.g., Booth Application_Busan Metropolitan City Volunteer Center) 

3. Selection and Notification of Results: 

▶ Selection: 20 booths will be selected. *Selection and booth allocation will be conducted by the secretariat and the organizers under the conference operational efficiency.

▶Result Notification: By the end of June, will be posted on the official website and individually inform to selected corporate / organizations. 

▶ Participation Fee: USD 1,500 ~ USD 3,750 / per 1 Booth (Payment methods and details will be informed individually referring to your contact person in the application form.)

4. Others 

▶ Exhibitors should own Intellectual Property for the exhibition items in the WVC2024 Busan. 

▶ If a dispute arises regarding the Intellectual Property of any exhibition item, all responsibility lies with the exhibitor. 

▶ Booth arrangement is allocated by the WVC2024 Secretariat under the conference operational efficiency. The Organizers and the WVC2024 Secretariat reserves the right to reject any application if sufficient space is not available. In the event of special circumstances, the exhibition area allocated to Exhibitors may be changed at any time before the exhibition preparation period. Such changes are made at the discretion of the organizer, and exhibitors cannot claim compensation for any changes made. 

▶ Additional charges will occur if you need extra items other than the provided items. 

▶ Please note that the exhibition Application is separate from conference registration for WVC2024 Busan. If more than 1 Full Conference pass is needed, each person should complete a general conference registration form and registration fee. (if applicable) 

▶ In case of cancellation of your participation, please furnish the reason in writing to the secretariat office email after submitting your application.
